As a member of Cph Volunteers you play a large and important role, when volunteering at an event. Without your voluntary efforts it would not be possible to hold successful events in Copenhagen.
Unfortunately, we sometimes experience that members fail to attend events and courses, which they have signed up for. This affects the event and the other volunteers, who then have to work double.
To ensure that both volunteers and partners have the best possible experience, we have developed a number of guidelines.
Our member courses and member events requires great preparation. They are an important and popular part of our offer to the members, and there are almost always members on the waiting list. When a member fails to attend at a member course or member arrangement, they deprive other members on the waiting list the opportunity to participate. Every time a member fails to attend an event or a course, this places strain on Cph Volunteers economically.
To ensure that both volunteers and partners have the best possible experience, we have developed a number of guidelines.
If you are unable to attending your task, a member course or a member event you have signed up for it is important that you urgently inform your contact. The contact person can be found in the material you have received from the organizer or us.
In the interest of planning apologies should be made as soon as possible preferably 72 hours before the event starts. This gives us time to pull in other volunteers from the waiting list
Acute illness can obviously not be notified but if it is estimated that you over a period of four months have more cancellations within 72 hours than real participation in events, the corps can choose to resign you.
- Guidelines for absence from events, member events and courses
Absence from events, member events or member courses
If you are unable to attend at your task, or the member course you have signed up for, it is important that you immediately notify your contact person. The contact person is in the material you have received from us or the organiser.
If you fail to attend to your task or a member course without giving notice, it will have the following consequences:
- The first time you fail to attend an event or a member course, you receive a warning. After 1 year the warning will be deleted.
- If you fail to attend to an event or a member course again within 1 year, your membership of Cph Volunteers will be withdrawn. If you do not react to this warning within 5 days, you will be signed out of Cph Volunteers.
- Guidelines for the selection of volunteers for events
Our volunteer corps is very popular. So popular that new members are constantly rolling in. We are very pleased that so many want to share the good experiences at events, member events and courses with us.
This in turn means that there is often many who want to participate, and that, unfortunately, you cannot always get a place at just the event or course you would like to attend to.
We at the secretariat have prepared some guidelines for the selection of volunteers for events, member events and courses. You can read more about these below.
Events, where we will need many volunteers
At events, where we need a lot of volunteers, you will see the following at conditions for registration:
- Registration on a first come basis.
This means that everyone gets a place, as long as there are places available, and that you will receive confirmation on your participation immediately.
Events where we need a few volunteers
At very popular events, where we need a few volunteers, we will from event to event, select one of the following terms of enrollment:
- We are putting together a team consisting of equal parts of English-speaking and Danish-speaking, and new and old members. An early registration is not a guarantee for a place on the team.
- Active members have priority. An early registration is not a guarantee for a place on the team.
- Members with Gold, Silver or Bronze membership have priority. An early registration is not a guarantee for a place on the team.
We have decided that at some of the most coveted events, priority is given respectively to, active members or members with gold, silver or bronze membership, as a reward to the members who have been out at most events. See above under memberships, to find out how these types of memberships are achieved.
When signing up for these events, you will receive a date on which to expect an answer on whether you have come on the team or not.
Events where the organisers make the roster
In some cases, it is the organiser, and not Cph Volunteers, who makes the duty roster. We have nothing to do with the selection, this will appear in the conditions for registration as:
- We are gathering all incoming registrations and forwarding them to the organiser of the event, who will put together a volunteer team and make a duty roster according to their own criteria.
At these events you must be patient and wait till the organizer is ready with the duty roster, after which you will get notified as to whether or not you have been assigned the task.
Events where event organisers are looking for people with specific qualifications
Here we select volunteers based on an assessment of the individual's application. This will appear from the condition for registration as:
- The team is composed based on the candidates' qualifications. Send a few lines to explain why you are qualified for the job.
When registering you will be notified, when to expect a clarification on your possible participation.
Courses
To sign up for one of our many courses, it is a condition:
- That you have been active as a volunteer at, at least one event. Only if there are not enough participants on the team, you can join even though you have not been out on a event.
NOTE: These guidelines apply to all members.
We hope for your understanding, if you do not get to attend at an event that you really wanted to participate in.
